Research Administrative Assistant – Finance
World Health Research (WHR) is hiring a Research Administrative Assistant to support both the Finance and Operations teams—including the project director, project manager, project coordinator, and fellow administrative assistants. This key role ensures the smooth functioning of day-to-day administrative and clinical trial activities.
The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment. They are capable of working both independently and collaboratively across teams to meet deadlines and maintain operational excellence.
Key Responsibilities
- Provide administrative support to the Finance team, including recording, categorizing, and maintaining financial transactions in ledgers and software systems.
- Assist the Operations team when capacity allows, including scheduling meetings, managing calendars, and coordinating travel.
- Format and prepare documents, presentations, and reports for internal and external use.
- Organize and maintain electronic and physical filing systems for essential study and regulatory documentation.
- Support communication with clinical sites, vendors, and other stakeholders.
- Track departmental expenses and assist with invoice processing.
- Monitor and manage office supplies and equipment as needed.
- Support data entry and maintain clinical trial and administrative databases.
- Ensure adherence to internal policies, procedures, and deadlines related to administrative processes.
Qualifications and Experience
- High school diploma or equivalent; additional education or certification in office administration is preferred.
- Minimum of 2 years’ experience in administrative or office support roles—preferably in finance, contracts, clinical research, or healthcare.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database systems.
- Excellent organizational and multitasking abilities with strong attention to detail.
- Strong written and verbal communication skills.
- Comfort working independently and within a team-oriented environment.
